The Yamassee-Guale Nation of Georgia, Inc., also known as “AhiTvlaofoh Yamassee-Guale Nation of Georgia”, is committed to maintaining the integrity, accuracy, and confidentiality of personal and genealogical information entrusted to the Tribe. This policy outlines how information is collected, maintained, protected, and disclosed.

Purpose and Scope

This policy applies to all personal, genealogical, and administrative information collected or maintained by the Tribe in connection with enrollment, governance, cultural activities, and official correspondence.

Data Collection

The Tribe collects only the information necessary to fulfill its governance, enrollment, and administrative responsibilities. This may include personal identifiers, genealogical documentation, and supporting historical records submitted voluntarily by individuals for official tribal purposes.

Data Accuracy and Integrity

The Tribe takes reasonable steps to ensure that records are accurate, complete, and maintained in an orderly manner. Enrollment and genealogical records are reviewed according to established protocols, and updates or corrections are made when supported by appropriate documentation.

Data Security

Sensitive records are maintained in secure physical and/or digital storage accessible only to authorized tribal officials with a legitimate administrative or governance role. Access to records is limited to what is necessary for official functions, and reasonable safeguards are used to prevent unauthorized access, alteration, or disclosure

Privacy and Confidentiality

Personal information, genealogical records, and supporting documentation are treated as confidential. The Tribe does not publicly disclose individual-level data, vital records, or enrollment materials. Public communications regarding membership are limited to aggregated or non-identifying information, such as total enrollment numbers or general geographic distribution.

Use and Disclosure of Information

Information is used solely for legitimate tribal purposes, including enrollment review, governance, cultural preservation, and administrative functions. Records may be shared with reviewing authorities or advisors only as necessary and appropriate for official review. Information is not sold, leased, or shared for commercial purposes.

Retention of Records

Records are retained in accordance with tribal governance needs and historical preservation responsibilities. The Tribe recognizes the long-term cultural and historical importance of genealogical records and maintains them accordingly.

This policy may be reviewed and updated as the Tribe’s administrative capacity and governance needs evolve. Any material changes will be reflected in updated public postings.
